RCM Launch: Why Your “Clearinghouse Enrollment” Fails (and Delays Cash Flow by 45 Days)

The most overlooked step in launching a DME business is the Clearing house Enrollment. It is the digital plumbing that connects your software to the insurance company. If the pipes aren’t connected, the water (cash) doesn’t flow.

You cannot just “email” a claim. You need a digital ID badge (Submitter ID) for every single payer.

  • The Failure: You assume your billing software (Brightree, NikoHealth, etc.) automatically connected you. They didn’t. You must file the EDI paperwork with the clearinghouse (Waystar, Availity, Change).
  • EFT (Electronic Funds Transfer): The money goes to the bank.
  • ERA (Electronic Remittance Advice): The explanation goes to your software.

The Pain: We often see providers who get the money (EFT) but have to manually post payments because they forgot to enroll for the ERA. This turns a 5-minute automated task into a 5-hour manual nightmare.

Once you get the Submitter ID, you must “Link” it to your software.

  • The Error: You have the ID, but you didn’t enter it into the “Payer Setup” tab of your software. The claims are rejecting at the software level before they even leave your building.
